Description: The Day Program Schedule Builder allows the supervisor to create a schedule specifically for a chosen Day Program. The Day Program Schedule Builder has two tabs: Clients Schedules and Employees Schedules. All clients and employees with an active service account for that program will be listed on the corresponding tab. The Clients Schedule must be created before creating the Employees Schedule, as the builder takes staffing ratios into account.

Create New Day Program Schedule

  1. Log in to your personal profile
  2. Click Scheduling on the main menu
  3. Click Day Program on the sub menu
  4. Search for the day program by using the filters and click the Search button
  5. Select the group service by clicking anywhere in the results row to open the Day Program Details page
  6. First create the Client Schedule from the Clients Schedule First, create the Client Schedule from the Clients Schedule Tab
    1. All clients with an active service account for the specified program will be listed in the leftmost left header column of the schedule tableThe number of weekly hours, hours scheduled, and hours available will appear under each employee name
    2. If you do not see the client you wish to schedule, verify that they have an active service account
    3. The number of consumed weekly hours, scheduled weekly hours, maximum available daily hours and maximum available weekly hours will appear under each employee name
  7. To create a new schedule, use the calendar or arrow icons to go to the desired week or click the Actions button, click New Schedule to display the next blank week schedule
    1. To If you want to use the same schedule as the previous week, click the Copy icon.
      1. Changes can be made to the schedule by right-clicking on individual entries or creating new entries by following the steps below.
      1. Select the week you want to copy from the drop and click Ok
      2. Click Yes on the confirmation alert window
    2. To create a new schedule shift, click the Blank Cell Click the blank cell on the day you wish to create a shift .Verify the date, set the start and end time, add any desired notes and click for to open the Schedule form wizard
    3. Complete the entry form
    4. Name: Prefilled with the Client Name of the cell you selected
    5. Service Code: Day Program (prefilled)
    6. EVV Location
    7. Day
    8. Start Time
    9. End Time
    10. Note
  8. Click Schedule
    1. You cannot schedule a client at the same time that the client is already scheduled somewhere else. To see a client’s full schedule, go back to the Scheduling Module home page and click Clients on the sidebar.
  9. Click Yes  Save on the confirmation alert window
  10. Repeat until the schedule is complete.
    1. Copy entries by dragging and dropping to a new cell.
  11. Click Publish
  12. Review exceptions and make changes as needed.
  13. Click Publish on the exceptions window
    1. The schedule will be visible to clients once it is published.
    2. Changes can be made to the schedule by right-clicking on individual entries. You must re-publish the schedule for the employee to see the changes.
  14. Once the Clients Schedule has been published, click the Employees Schedule Tab
    1. Select the day of the week that you will be scheduled scheduling for. This will update the Required Employees Number on the hourly tables.
    2. All employees with an active service account for the specified program will be listed in the leftmost left header column of the schedule table

      10. Critical: Checkbox if you want the shift to be marked as critical
      11. Reminder: Enter the numeric value (minutes, hours, days or weeks)
      12. Reminder Type: Select Minutes, Hours, Days or Weeks from the drop down
  16. Click Schedule
  17. Click Save on the confirmation alert window
  18. Repeat until schedule is complete
    1. Verify the date, set the start and end time, add any desired notes and click Schedule

View Day Program Schedule

  1. Login Log in to your personal profile
  2. Click Scheduling on the top bar Click Day Programs on the sidebarmain menu
  3. Click Group Services on the sub menu
  4. Search for the day program by using the filters and click the Search button
  5. Select the group service Select the desired program by clicking anywhere in the results row to open the Day Program Details page
  6. The Day Program Schedule builder has two tabs:
    1. Clients Schedule
      1. Lists all clients who have an active service account for the Day Program.
      2. Clients will be listed once per service code
      3. There are several numbers listed on each service code. Hover over each number to find out what it represents. 
      4. The first number is consumed weekly hours. This is the total of all pending and approved punches for the service code for the week. 
      5. The second number is scheduled weekly hours. This is the total hours of saved shifts for the week. 
      6. The third and fourth numbers are the daily maximum and maximum available
    daily hours and
      1. weekly hours. These are both set on the authorization. You will receive a warning if you attempt to schedule over the maximum available daily hours.
      2. Hover over the “I” icon to see more authorization details, including the authorization end date and the remaining balance. You will not be able to create schedule entries beyond the end date or that exceed the remaining balance. 
    1. Employees Schedule
      1. At the top of the Employee’s schedule is an hourly view of the required employees compared to scheduled employees. Click the dropdown next to Select Day to change the day. 
        1. Required Employees number will be updated when the Client Schedule is published
        .
        1. Scheduled Employees updates as new shift entries are added to the schedule

  7. The default view is a weekly view. To view an hourly view of one day, click “Day” or click “Today” to go to today’s schedule. To return to the Week view, click Week.
  8. You can easily navigate to other weeks by using the arrows or the calendar icon.
  9. Each shift will display start and end time and total hours
    1. Scheduled Shifts (published) will appear in light blue
    2. On Call Shifts (residential and day program only) will appear in dark blue
    3. Offered Shifts will appear in yellow
    4. My Offered Shifts (shifts you have offered for others pick up) will appear in light red
    5. Unpublished Change will appear in green
    6. Deleted Unpublished Change will appear is bright red
  10. There are several tools available to quickly make changes to your schedule. 
    1. Click the trash  Trash icon to clear the current schedule.
    2. Click the copy  Copy icon to copy the schedule from the previous week.
  11. Right-click on any schedule entry and select:
    1. Click the printer  Printer icon to print the schedule.
    2. View: to view details
    3. Edit: to edit Right-click on any schedule entry to:
    4. View Details
    5. Edit the entry
    6. Delete: to delete the entry
