Description: In  In this topic you , the user will learn how to create (add a new) an authorization, approve or reject the pending authorization, and edit, view, or deactivate reject an authorization. An authorization is an entry in DCI that represents an allotment of dollars or units from a funding source to provide a service to a client.An  An authorization is for one service code and one client.

Role Required: Super User Role, Billing roleTeam, Authorization Role

Permission Required: Authorization Admin Permission

Create (Add New) Authorization

  1. Log in to DCIprofile

  2. Select the Select Authorization Module from the main menuSelect

  3. Select Pending Authorizations from  from the sub menusubmenu

  4. Click Click Actions

  5. Click Select Add New Authorization from the drop-down menu

  6. Complete the Add New Authorization form wizard:

  7. Click the blue Save button

  8. Click Yes in the confirmation alert windowto confirm adding the authorizationClick Save and Yes to confirm

Approve or Reject a Pending Authorization

The authorization will need to must be approved before it can be used.

  1. Log in to personal profile

  2. Select the Select Authorization Module  from the main menu

  3. Select Pending  Pending Authorizations from  from the submenu

  4. Locate View the pending authorization in the table below the search box or utilized the search criteria (i.e., the start date or end date of the authorization, client name etc.) then select Search.

    1. The table will update based on search criteria.

  5. There are two options:

    1. To approve the pending entry, select the A then click Yes to confirm the approval

      1. A green bar will display to notify the user of the approval

    2. To reject the pending entry, select the R then click Yes to confirm the rejection

      1. A red bar will appear to notify the user of the rejection

  6. Approved and rejected authorizations will disappear from the list once they have been addressed

  7. Once approved, the authorization is ready and available to use

  8. results or use the filters to refine then click Search

  9. Click A to approve the authorization or the red R to reject

  10. Click Yes to confirm

Reject an Authorization

  1. Log in to profile 

  2. Select Authorization from

  3. Sign into your Personal Profile 

  4. Click Authorizations on the main menu 

  5. Click theSelect Authorizations from  from the submenu 

  6. Search for the authorization by typing the name in the search field and selecting it when it comes up 

  7. Click Search 

  8. Select the authorization from the table by clicking anywhere in the row 

  9. Click Actions button 

  10. Click Edit from the actions dropdown 

    1. To deactivate, update the status to Inactive

  11. Update or edit the form wizard 

  12. Click Save 

  13. Use the filters to refine and click Search

  14. Click anywhere in the authorization row to open the authorization detail page

  15. Click Actions 

  16. Select Edit Authorization from the drop-down menu

  17. Update or edit the form wizard as needed

  18. To reject an authorization that has a balance (does not have a zero balance):

    1. Select Reject Authorization from the drop-down menu

      1. A red error message will populate if the authorization has punch entries entered against it and the system will not allow the rejection

  19. Click Yes to confirmClick Yes on the confirmation window
