As your EVV Vendor, we wanted to follow up on the communication sent out from AHCCCS regarding the notice for hard claims edits beginning November 1, 2022. You may click the link to view the EVV Hard Claims Edit Notice document that was sent. This change will require an EVV visit to exist for associated claims payments. To assist in your preparation for these changes, below are some best practices and activities to start implementing now in your role as an EVV provider.

Provider Best Practices

  • Identify team member(s) responsible for EVV visit maintenance
  • Log in to your Sandata portal daily
    • For assistance with Sandata-related items, contact Sandata at 844-289-4246
  • View EVV visits and aggregation status in the Sandata portal
  • Review DCI EVV Aggregation reports that are emailed to you daily
  • Perform visit maintenance in DCI to correct visit errors
  • Review all six required aggregation requirements
    • Type of service performed
    • Individual receiving the service
    • Date of the service
    • Location of the service
    • Individual providing the service
    • Time the service begins and ends
  • Create, maintain and verify schedules
  • Review Social Security ID is required and the toggle button is selected Yes for “Allow SSN Retrieval” on the employee profile

If you have not already started, please begin these activities. Please be advised the Sandata portal is the source of truth for whether a visit is accepted or rejected.

Our role and goal as your EVV Vendor is to support you in this process and answer any questions in advance. Below are the steps we are taking to ensure you have everything you need to be successful after this change is effective.

Vendor Responsibilities

  • Send daily EVV Aggregation Reports via email
  • Report any issues with your EVV visit aggregation
  • Communicate if any system updates are required for state-directed changes
  • Provide support for any technical issues with the DCI web portal or mobile app
