  • The EVV Locations functionality is a way to specify and record approved work locations per Electronic Visit Verification requirements

  • The EVV Location dropdown will appear on your punch entry form if the user is required (per company requirements) to specify where they worked during your shift

  • Your supervisor or employer will create approved work locations prior to the user entering your shift

  • These work locations will appear in the EVV Locations dropdown field on your punch entry form

  • Select the location that you completed your shift at. If no locations are listed, you can skip this field.

EVV Location dropdown may appear on the following punches:

  • Hourly Punches

  • On the punch entry form via Web Portal or Mobile Web

    • Listed as Clock In EVV Location and/or Clock Out EVV Location

    • Upon Clock In and/or Clock Out via Mobile App

  • Residential Program Clock In and Clock Out

  • Day Program Clock In and Clock Out

  • Parenting Program Punches

  • Group Service Punches

Clock In with EVV Location on the Mobile App

  1. Open the DCI app
  2. Log in to your personal profile
  3. Click the blue Clock In button on the Dashboard
    1. The Clock In button will not display if you have an open shift
      1. If the Continue to Clock Out button is displayed this means the user did not clock out of their last shift and needs to complete the clock out process before clocking in again
  4. Complete the Clock In screen
    1. Client - If you have one Client only, then this field will be automatically filled out for you. If you have more than one Client click on the field and then select your client from the list.
    2. Service Code - If you have one Service Code only, then this field will be automatically filled out for you. If you have more than one Service Code click on the field and then select your client from the list.
    3. Cost Center - Cost Center will be filled out automatically. There is no action to take here.
  5. Click the Continue button.
  6. Select your EVV location for the dropdown/popup box
  7. Click Confirm Clock In to complete the clock in process.
  8. This screen will display a summary of your clock in, including the authorization remaining balance if enabled.

Clock Out with EVV Location on the Mobile App

  1. Open the DCI app
  2. Log in to your personal profile.
  3. Click the blue Continue to Clockout button.
  4. Click Confirm.
  5. Select your EVV location for the dropdown/popup box
  6. Click the Client Verification Method.
    1. There are several different verification options: Pin or Password, E-Signature, Picture, Voice, and Portal Sign-Off. Depending on your organization, you may or may not have all options available. We have detailed guides on each method available in the help center.
  7. Add optional notes or attachments.
    1. Entering notes is Optional, follow your organization’s requirements regarding note taking.
    2. Add Attachment is an Optional field that allows you to take a picture and add it to the note. This is optional as well.
  8. Click Confirm Clock Out.
  9. Your shift details will be displayed, click Home to return to the Dashboard.

Enter a Punch with EVV Location in the Web Portal

  1. Log in to your personal profile
  2. Click Add Entry button (blue) on the Dashboard
  3. Complete the Add New Entry form wizard
    1. Entry Type: Punch - Default, other options my be available for your organization
    2. Employee Name: Prefilled with name of the employee logged into the system, this field is not editable
    3. Account Type: Account types available will depend upon authorizations
    4. Client: Enter the client name and then select from the list below
    5. Start entering the letters of the name until the system display names, select the correct
    6. Service Code: The service code(s) authorized for the client. Select the one that is most appropriate for the service rendered.
    7. Service Date: The date the service took place, please ensure that it is within the acceptable date range of the organization.
    8. Remaining Balance: This is specific to the client and appears once the name is selected. It shows how many hours or units are remaining on the authorization.
      1. Some organizations do not display Remaining Balance.
    9. Check In/Check Out: Here is where to enter the clock in/clock out times. Both fields are required. When you click in the field a time dropdown will display in half hour increments.
    10. Time can be entered directly into the field.
    11. Or select the time from the dropdown if the shift started or ended at either the top of an hour or half past the hour.
    12. EVV Method: The option are Portal Signoff or FOB if enabled for your organization. Please reference the FOB user guide for more detail.
    13. Clock in EVV Location: Select where the service was preformed. There may be one or more options available depending on the client.
    14. Clock out EVV Location:  Select where the service was preformed. There may be one or more options available depending on the client.
    15. Check Out Date: This field can not be edited and is tied to the Service.
    16. Diagnostic Code: Enter ICD-10 code (optional).
    17. Notes: Enter notes per your organization’s requirements (optional).
    18. Attachment: Select to attach a file. Examples include receipts, photos.
  4. Select Save
  5. Select Yes in the confirmation alert window to confirm the punch
