Description: In this topic you will learn about the mileage account type. The mileage account type is not associated with a service code, authorization, or a client. The account type mileage is used to track mileage (unit type) and is not billable. This account type is used when the employee is driving for work but not while clocked into an hourly shift on the mobile app, i.e., employee is reimbursed for the mileage traveled between clients or shifts, not including travel to the first shift/client or back home from last shift/client. The employee may or may not be reimbursed, depending on the "payable" setting on the employee service account. Punch entries can be entered in real time in the mobile app by using the drive button or historically in the web portal using the mileage account type. An employee service account will need to be created, to be available for the employee to make punch entries.

*Please note: When entering a punch entry for mileage in the mobile app for multiple stops, follow the steps for Enter Mileage Punch in the mobile app for each stop. If you do not Start Drive and End Drive for each stop, the mileage will be inaccurate.

Enter a Mileage Punch in the Web Portal

  1. Log in to your personal profile
  2. Click the blue Add Entry on the Dashboard
    1. The Add New Entry form wizard will open
  3. Complete the Add New Entry form wizard
    1. Entry Type: Select Punch Entry - set as default
    2. Employee Name: Name of the employee who is logged into the system. This field is not editable.
    3. Account Type: Click the dropdown and then click Mileage
    4. Cost Center: Type and select cost center from list
    5. Service Date: The date the driving took place, please ensure that it is within the acceptable date range of the organization.
    6. Starting Odometer Reading: Enter the starting odometer
      1. Some programs allow the starting odometer to be 0
    7. Ending Odometer Reading: Enter the ending odometer
      1. Some programs allow this to be the number of miles driven
    8. Total Number of Calculated Miles: The system will subtract the Ending Odometer Reading from Starting Odometer Reading field to get the total number driven for the entry
    9. Notes: Enter notes per your organization’s requirements (optional)
    10. Attachment: Select to attach a file
    11. Select Save
  4. Select Yes in the confirmation alert window

Enter Mileage Punch (Drive button) in the Mobile App

  1. Log in to DCI with your personal profile
  2. Open the application.
  3. Login to your personal profile.
  4. Click the blue Drive button on the Dashboard.
  5. Complete the Drive Account screen.
    1. Drive Account - automatically populated
    2. Cost Center - Cost Center will be filled out automatically
    3. Vehicle Type: Choose Personal or Company vehicle and then click OK
  6. Click the Next button.
  7. Click Confirm to acknowledge the Alert - "Are you sure you want to start Drive? It will impact battery life."
    1. NOTE: You may be asked to allow DCI to use the device location
      1. Click Allow Only While Using the App, if prompted
  8. Click Confirm to acknowledge the Alert - "Please select your Drive start location for accurate map route"
    1. This feature is integrated with Google Maps. Your Google Map location will display on the screen.
  9. Click Confirm to validate that the map location is correct
    1. The mileage is now being recorded from your confirmed location
  10. Click End when you have arrived at your destination
  11. Click Confirm to acknowledge the Alert - "Are you sure you want to End Drive?"
  12. Click Confirm to acknowledge the Alert - "Please select your Drive end location for accurate map route."
    1. This feature is integrated with Google Maps. Your Google Map location will display on the screen.
  13. Click Confirm to validate that the map location is correct
  14. Your Drive entry will state the drive session was ended here and will display
    1. Estimated mileage (miles driven)
    2. Estimated Travel Time (minutes)
    3. The beginning location will be marked on the map with a pin point labeled A
    4. The ending location will be marked on the map with a pin point labeled B
