Description: In this topic you will learn about client transportation account types. Client transportation account type is associated with a service code, authorization, and a client. This account type based on service code settings and can be payable or non-payable, billable or non-billable and the unit type is miles. The client transportation account type is used when the employee is driving a client (usually while on the clock for an hourly shift) and needs to track those miles specific to the client and the authorization. Punch entries can be entered in real time in the mobile app or historically in the web portal.

*Please note: When entering a punch entry for mileage in the mobile app for multiple stops, follow the steps for Make a Client Transportation Punch in the mobile app for each stop. If you do not Start Client Transportation and End Client Transportation for each stop, the mileage will be inaccurate.

Enter Client Transportation Punch on the Web Portal

  1. Login to your personal profile
  2. Click the blue Add Entry on the Dashboard
    1. The Add New Entry form wizard will open
  3. Complete the Add New Entry form wizard
    1. Entry Type: Select Punch - set as default
    2. Employee Name: Name of the employee who is logged into the system. This field is not editable.
    3. Account Type: Click the dropdown and then click Client Transportation
    4. Client: Type and select the client name
    5. Service Code: Click the dropdown and then click Client Transportation
    6. Service Date: Enter the date the driving took place, please ensure that it is within the acceptable date range of the organization.
    7. Remaining Balance: Authorization remaining balance may be visible based on your organization settings
    8. EVV Method: Click the dropdown and then click Portal Signoff
    9. Starting Odometer Reading: Enter the starting odometer
      1. Some programs allow the starting odometer to be 0
    10. Ending Odometer Reading: Enter the ending odometer
      1. Some programs allow this to be the number of miles driven
    11. Total Number of Calculated Miles: The system will subtract the Ending Odometer Reading from Starting Odometer Reading field to get the total number driven for the entry
    12. Notes: Enter notes per your organization’s requirements (optional).
    13. Attachment: Select to attach a file
    14. Select Save
  4. Select Yes in the confirmation alert window
  5. The mileage punch entry is now complete

Enter Client Transportation Punch on the Mobile App

  1. Open the mobile application
  2. Log in to your personal profile
  3. Click the blue Clock In button on the Dashboard.
    1. NOTE - The Clock In button will not display if you have an open shift. If you login and you see the blue Continue to Clockout button displayed that means that you did not clock out of your last shift and have to complete that process before you can clock in again.
  4. Complete the Clock In screen.
    1. Client - If you have one Client only, then this field will be automatically filled out for you. If you have more than one Client click on the field and then select your client from the list.
    2. Service Code - If you have one Service Code only, then this field will be automatically filled out for you. If you have more than one Service Code click on the field and then select your client from the list.
    3. Cost Center - Cost Center will be filled out automatically. There is no action to take here.
  5. Click the Continue button
  6. Click Start Client Transportation
  7. Select the service code, Client Transportation from the dropdown
  8. Select Continue
  9. Click Confirm to acknowledge the Alert - "Are you sure you want to start Client Transportation? It will impact battery life.
    1. NOTE: You may be asked to allow DCI to use the device location
      1. Click Allow Only While Using the App, if prompted
  10. Click Confirm to acknowledge the Alert - "Please select your Client Transportation start location for accurate map route."
    1. This feature is integrated with Google Maps. Your Google Map location will display on the screen.
  11. Click Confirm to validate that the map location is correct
    1. The mileage is now being recorded. You are in Client Transport Mode. Your time and distance will be tracked from here.
  12. Click End when you have arrived at your destination
  13. Click Confirm to acknowledge the Alert - "Are you sure you want to End Client Transportation?"
  14. Click Confirm to acknowledge the Alert - "Please select your Client Transportation end location for accurate map route."
    1. This feature is integrated with Google Maps. Your Google Map location will display on the screen.
  15. Click Confirm to validate that the map location is correct
  16. Your Client Transportation entry will state the drive session was ended here and will display
    1. Estimated mileage (miles driven)
    2. Estimated Travel Time (minutes)
    3. The beginning location will be marked on the map with a pin point labeled A
    4. The ending location will be marked on the map with a pin point labeled B
  17. Continue with Clock Out process by clicking the Continue to Clock Out button
