Description: In this topic you will learn about EVV Locations functionality which is a way to specify and record approved work locations per Electronic Visit Verification requirements. This guide will outline how to manage, select, and review EVV Locations.

Role Required: Superuser/Supervisor/Employer

Permission Required: Funding Source Admin, Profile or Program Admin, Import Admin

Managing EVV Locations

It will be most common to use EVV locations on Client Profiles, as these are the locations that will be available when creating an hourly punch. However, EVV locations can be added to any of the following pages:

  • Client Profile

  • Employee Profile

  • Residential Program Profile

  • Day Program Profile

  • Group Service Profile

  • Parenting Program Profile

Add an EVV Location to an Existing Profile 

  1. Login to a profile with the appropriate role and/or permission via the DCI website
  2. Click Home on the main menu
  3. Click the desired profile type from the sub menu
  4. Use the filters to search for the profile and click the search button
  5. Click on the profile from the table you want to add the EVV location
  6. Click Actions button
  7. Click New EVV Location from the actions dropdown
  8. The Add New EVV Location form wizard opens
  9. Type the name of the location in the EVV Location Name field
    1. This should be something recognizable by the employee providing services
  10. Select the EVV Location Type from the dropdown field
    1. Either Residential, Commercial, or Public Space
  11. Enter the EVV Location address
  12. Enter optional Phone Number
    1. Every active EVV Location for a client must have a unique phone number associated with it, if a phone number is entered
  13. Select Phone Verified
    1. Click Yes if phone number has been verified, No if it has not
  14. Select optional Phone Type
    1. This list is configurable via Settings > Custom Dropdowns
    2. Examples might include types such as Landline, Mobile, Apple, Android, etc.
  15. Select optional Phone Carrier
    1. This list is configurable via Settings > Custom Dropdowns
    2. Examples might include local carries or national carriers
  16. Enter a Begin Date, this is required
    1. End Date is optional
    2. If no End Date is selected, the EVV location will always be available
  17. Select Status
    1. Active: Location will be available when entering a punch
    2. Inactive: Location will be hidden when entering a punch
  18. Check the Primary checkbox if this is the location that should auto populate on the New Entry wizard
    1. Only one location can be primary
  19. Click Save.
    1. The system will verify the EVV Location is a valid address
      1. If it is not, an error will be shown that reads, “Google Maps does not recognize this Location Address.” You will need to enter a valid address to continue.
    2. If it is, select Yes on the confirmation alert window
  20. To view the EVV Location Details, click the EVV Locations Tab on the Profile Details Page

Edit a location for an existing profile

  1. Login to a profile with the appropriate role and/or permission via the DCI website
  2. Click the desired profile type from the sub menu
  3. Use the search functionality to locate the profile or program that you wish to edit
  4. The search results will appear below the search box
  5. Click any where in the row to open the profile or program details screen
  6. Scroll down the details page and click the EVV Locations Tab
  7. Click the desired EVV Location to open the EVV Location details page.
  8. Click Actions, then click Edit EVV Location
  9.  Make the desired changes
    1. Please note that an address cannot be changed. If the address is no longer used and a new address is needed, the EVV Location should be set to Inactive and a new EVV location should be created.
  10. Click Save then select Yes on the confirmation window.

Create a Service Code with EVV Locations

  1. Login to a profile with the appropriate role and/or permission via the DCI website
  2. Click Settings from the main menu then Funding Sources from the sub menu
  3. Choose the Funding Source where you would like to create a new Service Code for 
  4. Click Actions
  5. Click New Service Code
  6. To enable EVV locations:
    1. Fill out all required fields per usual
    2. For EVV Required click Yes
  7. Click Save then select Yes on the confirmation window 

Edit an existing Service Code to comply with EVV

  1. Login to a profile with the appropriate role and/or permission via the DCI website
  2. Click Settings from the main menu then Funding Sources from the sub menu
  3. Choose the Funding Source where you would like to edit the Service Code for 
  4. Scroll down and click on the service code you with to edit to open the Service Code Details screen
  5. Click Actions then click Edit Service Code
  6. Verify the toggle button next to EVV Required is set to Yes
  7. Click Save then click Yes on the confirmation window 

* The supervisor will set the EVV frequency on the Service Account. EVV Location will be required at Clock Out or Clock In/Out, depending on EVV frequency setting. EVV Location will not be required at interval check-ins.

Add a Program with EVV Locations

  1.  Sign into your Personal Profile
  2. Click Home on the main menu
  3. Click the type of program on the submenu (Residential Programs, Day Programs, or Parenting Programs)
  4. Click Actions and then click Add New Program
  5. Fill out all required fields per usual, however ensure the toggle button next to EVV Required click Yes
  6. Complete all pages of the wizard and click Save then Yes on the confirmation window

Edit an existing Program to require EVV Locations

  1. Sign into your Personal Profile
  2. Click Home on the main menu
  3. Click the type of program on the submenu (Residential Programs, Day Programs, or Parenting Programs)
  4. Search and open the program that you wish to edit 
  5. Click Actions and then click Edit Program
  6. Verify the toggle button next to EVV Required is set to Yes
  7. Click Save then click Yes on the confirmation window 

View Punches with EVV Locations

  1. Sign in to your Personal Profile
  2. Click Home on the main menu
  3. Click Entries on the submenu
  4. Use the filters to search for specific punches and select Search
  5. The Entries table will display all punches or will be updated with the search criteria
  6. Open the punch by clicking anywhere in the punch entry row
  7. The Punch Details page will display for your review
  8. Clock In and Clock Out EVV Locations are listed in the EVV Details box on the Punch Details Page in the EVV details section

EVV Locations Reports

All EVV Reports contain EVV Location information for clock in and clock out locations. The following are the EVV report options:

  • EVV Entries Report

  • Geofence Report

  • EVV Phone Report

  • FOB Report

  • Portal Sign Off Report

Access EVV Reports

  1. Login to a profile with the appropriate role and/or permission via the DCI website
  2. Click Reports in the main menu then EVV Reports on the sub menu
  3. The flyout menu options displaying all EVV reports, click the one that you would like to run

EVV Locations Imports
