Description: In this topic, the user will learn about message templates. Message Templates are automated messages and notifications that are sent to DCI users based on specific events or triggers in DCI. Message Templates can only be edited by a Super User.

Message Templates are split into two categories, messages and notifications.

  1. Messages are sent to the user’s inbox in the DCI messaging module. Because messages are housed completely within DCI, they contain more detailed information than notifications. Messages will include hyperlinks to specific objects in DCI, such as a profile or a punch entry. When active, all message templates will send a message.
  2. Notifications are sent to a user’s email address and/or as a text message. Because notifications are sent outside of DCI, they contain limited information in order to protect confidentiality. The user must log into DCI to view the details. In order for a user to receive a text message notification, they must verify their mobile phone number under employee settings on their personal profile.

View Message Templates

  1. Log in to DCI with personal profile
  2. Click Settings on the main menu
  3. Click Message Templates on the submenu
  4. Scroll through the list (click the Load More button at the bottom until all records have loaded) or use the filters to locate specific message templates
  5. Select a message template to view the details by clicking anywhere on the row

Edit a Message Template

  1. Log in to DCI with your personal profile.
  2. Select Settings from the Main Menu.
  3. Select Message Templates from the Submenu.
  4. Use the Search functionality to find the holiday schedule you would like to edit.
  5. Click anywhere on the Message Template you would edit to view to open the Message Template Details screen.
  6. Click Actions
  7. Click Edit Message Template and update the details using the following:
    1. Click the desired macro(s) to add to the message body. The macro will appear in the message body wherever your cursor is located when you click the macro.
      1. To add a name: Enter greeting and then click on the <Profile Fullname> macro. The body text box would display the following in this example:
        1. Hello <Profile Fullname>
      1. For example:
    1. None
      1. No notification is sent.
    2. Email
      1. Sends an email to the email address in the users profile.
    3. SMS
      1. Users must verify their mobile number in their profile settings to receive SMS text messages.
    4. Both
      1. Sends an email and a text to the user.
    1. NOTE: High priority messages display a Red Alert bar below the Main Menu on the a users profile. The user can click on the Red Alert bar to open the Message Center.
    1. All: Send to all Message Recipient types listed below, except for Manual.
    2. Creator: The creator of the object that triggered the message. For example, the creator of the punch entry for the “Punch Created” message template.
    3. Supervisor: Users with the Supervisor Role over the Cost Center in which the event occurred.
    4. Manual: Manually enter in the names of the DCI users. Here you can enter a specific user or multiple user, or use the Macros the open when Manual is selected
      1. Click the desired macro(s) to add to the recipient group.
      2. The macro options include the following, all of which must be in the same cost center to receive the notification or message:
        1. Supervisor
        2. Employer
        3. Client
        4. Case Worker
        5. Guardian
        6. Employee
      1. If Manual is selected, Macro for Recipients Macros will appear on the screen. This allows the user to select multiple recipient groups.
    1. Message Template Type: This is the event in DCI that triggers the message to be sent. This field is grayed-out and cannot be edited.
    2. Message Template Subject: This will appear in the subject line for the message. You can keep the default subject or replace the text with a subject line that you want your users to see when they receive the message or notification.
    3. Message Template Body: This is the body of the message. Here you can type the text that your user will see when they open the message. Remember, these are system generated messages, so we want the body text to be appropriate for any user who triggers the event in the system. In addition to body text, the user can add Macros, which can pull in system information to be displayed in the message. For example, a Macro can be used to add the employee or client's name to a message or notification.
    4. Macros: Message Templates Macros display dynamic information in the body of the message. Text wrapped in < > will display the dynamic data for that macro. Macro buttons are located below the body text field, but will be inserted in the body text field when clicked.
    5. Notification Type: Click the Notification Type dropdown to choose how the user with receive this notification picking one of the following options:
    6. Message Priority: Click the Message Priority dropdown to select Low, Normal or High priority.
    7. Message Recipients: This dropdown will determine the user(s) who will receive the message or notification. The options are:
    8. Template Status: Click the dropdown to select either Active or Inactive. Active is the default.
  8. Click the Save button.
  9. Select Yes in the confirmation alert window.


Preferred Language Message Templates

DCI has the ability to send messages and notifications in the user's preferred language. In order to use this feature, an instance level setting must be enabled. Please contact your authorized DCI representative to learn more. The languages currently support by DCI are as follows:

  • English
  • Spanish
  • Vietnamese
  • Russian
  • Mandarin
  • Somali
  • Arabic

Translate a Message Template to a Preferred Language

To translate a Message Template, follow the steps to Edit.

  1. Log in to DCI with your personal profile.
  2. Select Settings from the Main Menu.
  3. Select Message Templates from the Submenu.
  4. Use the Search functionality to find the holiday schedule you would like to edit.
  5. Click anywhere on the Message Template you would edit to view to open the Message Template Details screen.
  6. Click Actions
  7. Click Edit Message Template to translate.
    1. The following are fields that can be translated:
      1. Message Template Subject
      2. Message Template Body
      3. Notification Template Subject
      4. Notification Template Body
    1. For example, if your program has English and Spanish speakers only, click on the blue Translate button for all the fields labeled Spanish.
    1. Translatable fields: Not all fields can be translated. However, the fields that can be translated will display the field name and language, for example Message Template Subject (Arabic) followed by a blue button labeled Translate.
    2. Click the blue Translate button on all fields that you would like to translate.
  8. Click the Save button.
  9. Select Yes in the confirmation alert window.
